In spite of the rain outside my window, the calendar says it’s event-time.
Now that you are deep into logistics and coordination, how do you keep up the ongoing communications that strengthen sponsor relationships?
Here’s a quick idea that has potential for a number of positive outcomes.
Two to four weeks before your event, send your sponsors a short thank you email.
Thank them for being Proud Sponsors of your event. Remind them that their support allows you to provide this great event for your community. You may also want to
- Remind them of dates you will pick up or need their company banners, or other near-term deadlines.
- Include a pdf of your event logo with the following phrase formatted near it: “We are proud to sponsor this great community event.” Suggest they put this on counters, in windows, or in employee break rooms.
- Suggest your Sponsors remind their employees to attend or volunteer.
You could attach a small, bulletin-board-sized poster or flyer.
You may want to include links for tickets, or volunteer sign-ups.
- Offer an easy activation idea for employee team-building.
Suggest that employees park in the company lot and carpool into the event area, and enjoy the event together. It would be really sweet if the sponsor offered coffee and donuts in the parking lot, or break room, before the excursion.
This should be easy if you have your sponsors segmented into a list in your email application and you have pdfs of small flyers and logos to attach. It’s even easier if you have your email copy written in advance!
Creating strong sponsor relationships is the key to renewing sponsors year after year – and we all know renewals save time, effort, and re-creating-the-wheel frustrations.
